If you are a Pagan and interested in vending at this event, we would love to hear from you.
This is not just another Pagan event, nor is it just a Craft Faire. We want you to help us create a special time and place where we can gather as Proud Pagans and demonstrate to the public we are significant. We also want to show off those Pagans that have a gift in creating things of beauty and utility.
The festival will take place at the Merriam Marketplace, 5740 Merriam Drive, Merriam, KS which is one block west of I-35 near the Johnson Drive exit. The Merriam Marketplace is an 10,000 sq foot, award-winning, community event pavilion located in the heart of the downtown Merriam historic district. Plenty of paved parking, restrooms, and park benches are provided for your customers shopping convenience. Electricity is also available and free to vendors.
Vendor spaces consist of a 10×10 space on the concrete under the pavilion. Electricity is free and available. NO table, chairs, extension cords or anything else will be provided. Vendors requiring more than one booth (max of 2 total spaces per vendor) must contact the KCPPD vending coordinator first to make sure the space is available as there will be a limited number of double spaces available.
All vendor fees are $50 plus a donation to our Charity Raffle of an item that has a retail value of $25 or more. We would prefer that this item be an example of your finest work. Gift certificates will not be accepted. The Charity Coordinator will assign a representative to collect your donation item on the morning of the day of the event. Please do not drop donations off at the Raffle tables, a representative will collect them for you.
Terms and Conditions
ARE YOU A PAGAN? The event showcases Pagan crafters and vendors, so you must self-identify as a Pagan.
COMMUNICATION. All communication regarding vending at the KCPPD will be through the KCPPD Vendor Coordinator using the firstname.lastname@example.org email address. If you do not have email access, please let us know as soon as possible so that we can arrange alternative forms of communication.
REQUESTING A VENDOR SPACE. Sending us the Vendor Agreement DOES NOT guarantee you a space. First, you are not considered until you have returned the vendor fee and the Vendor Agreement fully filled out and signed. Second, all spaces are juried and you will be informed if your application is accepted. Once we have received your application and vendor fee, we will inform you within one week if you have been accepted as a vendor. If your application is declined, your vendor fee will be immediately returned. If you have any reasonable special needs, please let us know well ahead of the event so we can try to accommodate you, however, there is no guarantee we will be able to accommodate you.
VENDOR/CRAFTER. There are a limited number of spots and we will select the vendors based on variety, quality, and appropriateness. We also seek vendors who craft at least 70% of their items. Market-place items, such as Avon, Scentsy, and Passion Party are prohibited from being sold. Since this is public event, sexually explicit items, or items that promote illicit activities, will also be prohibited.
FOOD VENDORS. No vendor will sell food without prior coordination and approval. Food vendors must follow applicable Kansas food handling laws and the best practices as determined by the Johnson County Health Department. (Provided separately.) No gas-powered equipment may be used at this marketplace. This includes gasoline, propane, natural gas, etc. Food vendors will be required to provide and maintain a trash can, and are encouraged to recycle.
VENDOR PLACEMENT. Vendor placement is done by KCPPD on the morning of the event. Set up starts at 8am & must be completed by 10am on the day of the event. KCPPD will NOT have staff to help you. Once you have your vehicle unloaded, we ask all vendors to park their vehicles across the street to ensure sufficient parking for your customers. If your customers cannot park, they cannot buy your items! All items for sale will be reviewed by the KCPPD Vendor Coordinator on the day of the event to ensure they meet the approved expectations. Vendors must remove all items that are not considered appropriate immediately from sale without argument.
HOURS OF OPERATION. You are responsible for making sure your space is attended by someone the entire day of the event. KCPPD will not have extra volunteers available to help man your space. If you do not plan to be operational the entire time, please indicate this in your application. We would like KCPPD attendees to have almost the same experience whether they attend at 10 am or 10 minutes before the close of the event.
EQUIPMENT. You are responsible for bringing whatever tables, chairs, cash/change and whatnot that you will need for the day. KCPPD will not be providing any of these things for you. Vendors under the pavilion may bring a tent provided it fits within their 10’x10’ space. Everything for your booth including merchandise, tables, and chairs, under stock and so on must be kept within your booth space. Please respect your neighbors’ space. Do not force customers to encroach on your neighbor’s space in order to look at your items. All signage must either be free standing, like an easel, or a banner hung from your table. You cannot tape anything to the pavilion. Be aware that we generally have high winds.
PLEASE KEEP YOUR AREA CLEANER THAN HOW YOU FOUND IT. Each Vendor is responsible for cleaning up in AND around their space by sweeping up debris and removing all trash to the dumpster prior to leaving. Pay particular attention to items like cigarette butts, packing material, food particles, etc. This includes the curb/street behind your booth! Even if you did not create the trash, we REALLY APPRECIATE your help in leaving the place cleaner than when we found it.
TAXES. Each Vendor is responsible for following all laws with regards to sales tax, licensure and/or ordination. More information on taxes can be found here: http://www.ksrevenue.org/specialsalesevents.html
LIABILITY. By acceptance of this agreement, the exhibitor expressly releases KCPPD from any and all liability for damage, injury, or loss to any person or goods, which may arise from the rental and occupation of booth space. Vendors are financially responsible for any damage they may cause to the space or KCPPD.
REFUND POLICY. Vendor has a right to request a full refund up to 60 days prior to the event in order to give KCPPD enough time to fill the vacant space. The requested refund will be sent out within 30 days after the event. No refund will be offered after this time. As this is a rain or shine event, there will be no refunds offered due to inclement weather or other events outside our control.
